This article describes how to manage Out of Order and Out of Service Rooms in Protel Air.
There are circumstances where a hotel may need to block a room for scenarios such as Maintenance Required, VIP Arrival, etc. To block a room you may use OUT OF ORDER or OUT OF SERVICE status.
Note the following difference between Out of Order and Out of Service:
- OUT OF ORDER - The room is removed from the hotel inventory and cannot be sold.
- OUT OF SERVICE - This room status does not affect hotel inventory and will still be available to book.
To place a room Out of Order/Out of Service (HTML):
Reservation > Block/Unblock Rooms
Add > Time Span: The dates for which the room needs to be Out of Order/Out of Service > Room > Status: This is where you choose from Out of Order or Out of Service > Reason > Description > Subsequent Status: This is where you choose the status of the room when it is returned to hotel inventory. It is recommended to always return an Out of Order/Out of Service Room to a dirty status and have the room checked by Housekeeping before returning to a clean/inspected status.
To place a room back in service (HTML):
There are two scenarios for placing an Out of Order/Out of Service room back into service.
- If you are changing the room status on the same day the room was placed Out of Order/Out of Service/before the start date of the block, you can simply delete the block;
- If you are changing the room status any date after the start date of the block, it can no longer be deleted;
In this instance, you must change the end date of the block to the current days date. This will then remove the Out of Order/Out of Service status and return the room to hotel inventory;
