How to change Prices

This article explains the options for changing Prices

PRICING ITEMS

There are 2 options for chaning the prices of items, either through the Items screen if changing the price of individual or a small number of items or via a Price Event if you want to change multiple items.

Items Screen

This method is best for individual price changes or a small number of changes that need to take effect immediately, where there is only one price band. This method is not suitable for customers with multiple stores which share the same database.

  1. From the panel down the left, go to Catalog > Item Catalog
  2. Filter the items if required, type in the name or part of name and click Quick Filter
  3. The last column of the left hand pane shows the current price of the item:-                                                

Update the  price(s) accordingly and click on the Save button.

Prices Tab

This method is best for individual price changes or a small number of changes that need to take effect immediately, where there are multiple price bands.

 

  1. From the panel down the left, go to Catalog > Item Catalog.
  2. Filter the items if required as above
  3. At the right hand side of the screen, click on the Prices tab.  If the item already has a price against any of the price bands, the prices will be displayed and can be changed here, otherwise the Prices tab will only contain the first price band but with a zero price against it at this stage:
  1. If only the first price band needs pricing, enter the price here and click on the  Save button on the Prices tab.
  2. If other price bands need pricing, click on the Insert button and select the appropriate price band, and enter the price alongside it:  
  1. Click on the Save button on the Prices tab.
  2. If there are multiple price bands that need to be priced for this item, click on the Insert button again and repeat the process.  Click on the Save button on the Prices tab after each price band has been added and priced.

 

  • Tip:  If there are multiple price bands and you wish to price all of them, click on the AddAllPrices button on the Prices tab, and this will add all available price bands.  The prices can then be entered and saved using the Save button on the Prices tab.

Price Events

This method is best for a larger number of price changes, or price changes which need to take effect on a future date.

  1. From the  panel down the left, go to Catalog > Pricing > Price Events.
  2. Click on the New button.
  3. Enter the date on which the prices need to take effect (or leave as today’s date if the prices are to take effect immediately).

IMPORTANT: Regardless of the date entered when creating the Price Event, a user will still need to execute it on the date the prices need to take effect.

  1. Select the price list(s) that these changes apply to and click on OK.
  2. The Price Event will have been given an Event ID and the effective date will be displayed, along with the price list(s) selected, and the status of ‘Active’, but the list of items will currently be empty:-
  1. To populate the list of items to be priced, click on the Add Items button.
  2. A search item screen is displayed.
  3. Enter appropriate search criteria, such as all or part of the Name, a Category, or the Item ID (use the ‘Item ID From’ and‘Item ID To’ fields if entering a specific Item ID or a range of Item IDs). 
  4. Click on the Query button.
  5. Any matching items are listed:-
  • Use the checkboxes next to each item to select the appropriate item(s) you wish to add to the price event.
  • Tip:  If you wish to select all the items listed, click on the checkbox to the left of the ID column heading.
  1. Click on the OK button.
  2. The selected items are added to the price event:-  

Tip:  If unwanted items have been added to the price event, these can be removed (before pricing any items) by highlighting the unwanted item and clicking on the Delete button.

  1. To add more items to the price event, click on the Add Items button and repeat the process.
  2. If more items have been added to the price event than can be displayed on one page, the navigation bar at the bottom will display the number of records within the price event and the navigation buttons to move to subsequent pages:-
  1. Update the  price(s) accordingly and click on the Save button.  Any price changes will be highlighted in red.
  2. Although the price changes have been saved, they have not yet been approved (finalised) or executed (activated).  To activate them immediately, click on the Approve button and Yes to confirm, then click on the Execute button and Yes to confirm.

IMPORTANT:  Once a Price Event has been approved (finalised), it can no longer be edited.

If the price changes need to take effect on a future date, the Price Event can be approved (finalised), but cannot be executed (activated) until the Effective Date is reached, therefore click on the Approve button and Yes to confirm, then the Price Events screen can be closed down at this point.  On the date when the prices need to take effect, carry out the following:-

  1. From the panel down the left, go to Catalog > Pricing > Price Events.
  2. Click on the Load button.
  3. By default, only the price events which are active are displayed (i.e. not yet approved or executed), so the filters across the top may need to be adjusted to show approved price events.

Tip:  If the price event was scheduled for a future date, the date fields may need to be adjusted and the Query button selected before the price event will be listed.  For example:-

  1. Select the price event which needs to be executed, then click on the OK button.
  2. The items within the price event will be loaded, along with any price changes made but not yet executed.  No further price changes can be made to the price event at this point.
  3. Click on the Execute button and Yes to confirm.
  4. The price changes are now executed (activated).

As an option when signing into the portal, a message can be displayed to show which Price Events have not been Executed and can be controlled from this screen. (Please speak to XN Support if you wish this feature to be activated)
